Thank you for your interest in the Steamboat Springs Hot Air Balloon Rodeo. 

The festival is a tradition that has over 38 years of longevity. 

We welcome you to join us as a vendor at either or both of our two event locations:

 

Balloon Launch Viewing Area @ Meadows Parking Lot

Saturday, August 28 - 6:30 am to 10:00 am

Sunday, August 29 - 6:30 am to 10:00 am 

This is our official balloon launch location. We expect 5000+ folks to attend each morning. The event is free to the public. We welcome merchant vendors as well as food vendors to apply. No commercial/political display booths, please.

General Terms

 

 

GENERAL RULES:

  • You will need to sign a revised set of Vendor Rules & Regulations based on the new health and safety measures for the event. Vendors are to keep their booth areas clean and attractive at all times.

  • Please provide your own booth or serving unit, and equipment. 

  • The event is held outside, so suitable protection from the sun, wind and rain is suggested.

  • There are no refunds for weather.

  • All tents must be anchored by at least 30lb weights on each corner post. Not stakes as we will be on asphalt.

  • Booth assignment is final and up to the sole discretion of the Event Director.

  • Food Vendors must comply with State of Colorado and Routt County Health Code Regulations.

  • Spread vendors out with 20’ distancing between each 

  • Markings on the ground to ensure six feet distance for patrons in lines and barricades to separate orders and pickups.

  • Touchless service experience 

    • All vendors recommended having a clear plastic protective guard at patron communication areas.

    • Vendors may not hand items to patrons. They are to be set on a sanitized surface for patron pick up. 

    • No self serve beverage stations. 

    • Merchandise to be sold from behind a counter. No trying on or touching of merchandise until sold to the customer. 

    • No returns or exchanges. All sales final. 

    • All vendors to have one designated staff person for handling transactions and separate staff to handle food prep. 

    • Credit cards requested for most transactions. POS stations must be sanitized after each transaction. 

    • If cash handled, staff must wear gloves and masks and must discard gloves after each use.

LIABILITY REGULATIONS:

  • Pets - no pets are allowed at the event.

  • Refunds - No refunds will be given in case of rain.  No refunds are given if vendor is expelled for not following rules and regulations of the event.  

  • Absolutely no refunds are given after June 1, 2019 for cancellation.

  • NSF check fees are an additional $25 to cover bank fees.

  • Taxes - VENDORS are required to collect sales tax. Howelsen HIll: 8.4% sales tax, 4.5% for City of Steamboat Springs, 1% for Routt County & 2.9% for State. Launch Site: 3.9% sales tax, 1% for Routt County and 2.9% for state. A list of all participants will be submitted to City of Steamboat Springs, Routt County and the State of Colorado for tax collection purposes. We will provide tax collection information and the website where you can submit following the event.

  • Liability - VENDOR PARTNER shall indemnify and hold CMNM/Steamboat Pilot and CMNM/Steamboat Pilot staff, festival sponsors and volunteers harmless from any claim or cause of action arising out of or in connection with the acts or omissions of VENDOR PARTNER under this Agreement, and shall reimburse CMNM/Steamboat Pilot for any costs, including, but not limited to, reasonable attorney’s fees incurred in defense against any such claim in addition to any other remedy available to CMNM/Steamboat Pilot.

  • Loss or Theft - All work is displayed/sold at the risk of the VENDOR. The organizers of the event are not responsible for loss, theft or damage to any artwork, display facilities or person.

  • Resolution of Disputes - In the situation of a dispute arising in any manner as a result of, or in any way related to this Agreement, the parties hereto agree to submit the same to mediation and/or arbitration as a prerequisite to legal action. In the event arbitration or legal action is commenced, the prevailing party SHALL be rewarded reasonable attorneys’ fees and costs including arbitration fees incurred as a result of said dispute.

  • Agreement Modifications - No prior or present Agreements or representations shall be binding upon any of the parties hereto unless incorporated in the Agreement. No modifications or changes in the Agreement shall be valid or binding upon the parties unless in writing, executed by the parties to be bound hereto.

  • Violations - VENDOR PARTNER acknowledges that a breach of any of the terms of this Agreement may result in the termination of this Agreement and the preclusion of VENDOR PARTNER’s participation from CMNM/Steamboat Pilot without Participation Fee.

  • Governing Laws - This Agreement shall be governed by the laws of the State of Colorado, and the health, sanitation and fire regulations of the city of Steamboat Springs  and Routt County.

  • Any participant not observing event rules will be subject to removal from the event, with all fees forfeited.  

  • Complaint Procedure: If a VENDOR has any complaints during event, please submit in writing the issue along with date and time to the Event Coordinator. Staff will convene within 2 hours of the submission and will provide a resolution promptly after deliberation.
